Steps to step guide to the placement/matching process

Firstly, thank you for submitting your completed application form, timetable and photos of your relative and the inside of their home.

With good cooperation, the following steps can normally be completed in 1 to 3 weeks. Please respond to our emails in a timely way (ideally within 24 hours) so that we can keep the process moving ahead and we can get the right carer for your relative. Thank you!

  • 1. We will convert part 2 of your application form, photos and timetable into one password protected PDF document.

  1. 2. We will examine your application and begin matching your requirements with a suitable carer.

  2. 3. When we have identified a suitable carer from our pool of available carers we will send that carer Part 2 of your application form along with your photos and the timetable in one password protected PDF document.

  3. 4. If that carer is interested in your placement we then send you that carer’s profile. This is will be a password protected PDF document. The password will be composed of the first 3 letters of the carer’s first name and the first 3 letters of the carer’s second name....all lower case letters, no spaces.

  4. 5. You should read through this carer’s profile carefully and let us know if you want to interview this carer. If you are not interested in interviewing this carer, let us know (if possible, give us some reasons why you think this carer isn’t suitable so that we can refine our search process accordingly). We will then send you an alternative carer profile.

  5. 6. When you are ready to interview a carer, let us know by email that you wish to interview the carer and we will email you the phone number of the carer. You should then send the carer a text message suggesting a time and day for a phone or skype interview. Please remember that if the carer is living in Eastern Europe the time difference is normally 1 hour ahead of Ireland...so specify the time in Irish time and the carer’s time.

  1. 7. After you have spoken to the carer, send an email to the placement department (Note: The names and email addresses of the placement department staff are at the bottom of this document) and tell us if you wish to hire the carer or not. If you don’t wish to hire the carer at this stage, please give us some reasons why you think this carer isn’t suitable so that we can refine our search process accordingly. If you don’t wish to hire the carer, we will send you another more suitable carer’s profile.

  2. 8. After you have spoken to a carer and you want to hire that carer, email the placement department (Note: The names and email addresses of the placement department staff are at the bottom of this document) and tell us the good news. We will then email the carer to confirm that she accepts the placement. If the carer accepts the placement we will send you the employment contract and placement fee invoice.

  3. 9. You should then send a text message to the carer and tell them the date you would prefer them to fly to Ireland and ask them to check flights on or around that date and ask them what the flight ticket costs for the different dates. When the carer gets back to you with this information you should tell the carer which date you want them to book their flight for. Please let ALHomecare know the agreed arrival date.

  4. 10. We will send you the starter pack which gives you advice and information relating to the placement of the carer. Remember: ALHomecare will remain in contact with you and the carer throughout the placement to help in any way we can to keep the placement working successfully for everyone involved.

    A few important tips!

Please email the placement department (Note: The names and email addresses of the placement department staff are at the bottom of this page) to request an update on the progress of your application, rather than call us by phone because it is easier this way for us to focus on the matching process. But if you feel progress is slow or if we don’t answer your email within 24 hours on weekdays, you are welcome to call us.

Try to make your decision about whether you want to interview a particular carer or not in one or two days maximum....Don’t ponder longer than this as we need to know whether you are interested or not. If you are not, we can offer that carer to another family. A carer that might not suit you could be very suitable for another family....and vice versa.

Once you have interviewed a carer...again please make your decision about whether you want to hire that carer or not in a maximum of 2 days. Don’t let the carer know directly whether you want to hire them or not....Email ALHomecare with your decision and we will pass that information on to the carer for you.
